Sector Meeting Facilitation Guide

Guidelines for conducting effective monthly sector-level review meetings

Social Welfare Department, Meghalaya Updated: January 9, 2026 Version 2.0

This guide provides a structured framework for Lady Supervisors and CDPOs to plan and facilitate effective monthly sector meetings. It covers agenda planning, data review, problem-solving, and action planning.

1. Meeting Preparation

Prepare the sector meeting agenda at least 3 days in advance. Review Poshan Tracker data, compile AWC performance summaries, and identify key issues to discuss. Ensure all AWWs are informed of the date, time, and venue.

2. Standard Agenda Format

Follow the standard agenda: review of previous meeting action points, data review and performance discussion, technical knowledge sharing session, problem-solving discussion, and action planning for the coming month.

3. Data Review Process

Use the standardized data dashboard to review key indicators: beneficiary coverage, supplementary nutrition distribution, growth monitoring rates, immunization coverage, and ECCE attendance. Identify AWCs needing additional support.

4. Action Planning

Each sector meeting should result in a clear action plan with specific tasks, responsible persons, and deadlines. Follow up on action items at the next meeting. Document all decisions and share minutes within 3 days.
